Problem Solving: From Firefighting to a Repeatable System

Step 1 — Name the problem in plain language
Write one paragraph. Describe the present state, the target state, and the date. Name the users or stakeholders affected. Include one specific example that everyone recognizes. Add two or three non‑goals to prevent scope creep. If the paragraph is confusing, the work will be too. Rewrite until a front‑line teammate can say it back in their own words.
Step 2 — Find the constraint and the causes you can influence
Every system has a bottleneck. Your job is to locate it and decide whether it is structural, behavioral, or informational. Use simple tools. A cause map or a fishbone sketch can be enough. Step 6 — Close the loop and keep the learning
Write what you tried, what happened, and what you decided. Share it. If the change worked, make it the new standard and train others. If it failed, explain why and what you will try next. Keep a lightweight log so new teammates can see the story without digging through chats. Close the loop with stakeholders and internal partners so they know you heard them.
